Job Description

JOB TITLE: Trainee Administrator


REPORTING TO: Office Manager

MAIN PURPOSE OF JOB: To provide general administrative support to the Department.



To monitor the Projects drawings email

To download and save drawings as required

To print drawings as required

To issue drawings as required


Timesheets and Site Returns

To log receipt of all timesheets and site returns received into the office

To ensure all timesheets are filled in correctly and processed on Vixen

Ensure that cut off is met with timesheets duly signed by Office Manager

To scan and save site returns



To assist the Project Purchaser with raising orders on Vixen

To contact suppliers for prices

To process delivery tickets on the Vixen system

To deal with any missing deliveries/queries/disputes as required


Operation and Maintenance Manuals

To produce O&M manual when job nearing completion

To contact subcontractors for their information

To print out & make copies of the manual as required


General Administration

Ensure all filing is carried out on a daily basis

Ensure all filing is completed correctly and relevant files are labelled clearly

To assist the Estimating Administrator during busy periods

Assisting at busy times with any telephone calls

Assisting the Office Manager with any other duties as and when they arise

To carry out any adhoc duties within responsibility as required



Work is received from, reviewed and approved by the Office Manager.
